By engaging our services or accessing our website, you agree to the terms of this Privacy Policy.


2. INFORMATION WE COLLECT

We collect only the information necessary to fulfill our services:

  • Contact Information: Name, professional email address, and institutional affiliation.

  • Payment Information: Processed securely through Stripe, our third-party payment processor. We do not collect, store, or have access to your credit card or banking details. Stripe's privacy policy governs the handling of your payment information and is available at stripe.com/privacy.

  • eRA Commons Access: To fulfill our services, your Signing Official creates a new, standalone eRA Commons account exclusively for Signal & Sequence's use. We do not collect, store, or request your organization's existing eRA Commons credentials at any time.

  • Research and Technical Files: Documents required to perform the Mechanical Audit, including the Research Strategy, Specific Aims, Biosketches, and supporting attachments. These files are used solely for the engagement for which they were provided.


3. HOW WE USE YOUR INFORMATION

We use your information strictly for the following purposes:

  • Assembling and validating your federal grant application in accordance with current NIH formatting and compliance requirements.

  • Communicating with you regarding project milestones, onboarding steps, and submission status.

  • Processing payment for services rendered through Stripe.

  • Complying with applicable legal obligations.

We do not use your information for marketing purposes, and we do not sell, trade, rent, or otherwise share your information with third parties for any commercial purpose.


4. CONFIDENTIALITY

All proprietary research data, scientific content, budget information, and institutional information disclosed by the client is treated as strictly confidential. Signal & Sequence will not disclose any such information to any third party without the client's prior written consent, except as required by law or court order. In the event of a legally compelled disclosure, we will provide prompt written notice to the client where permitted by law.


5. DATA SECURITY

We take reasonable technical and organizational measures to protect your information from unauthorized access, loss, or misuse. Research and technical files are stored in encrypted, access-controlled environments during the engagement period. File transfers are conducted through secure channels. While we take these precautions seriously, no method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.


6. DATA RETENTION

We retain your information only as long as necessary to fulfill the purposes outlined in this policy:

  • Research and Technical Files: Securely deleted from our active working environment within 30 days of confirmed Accepted status in eRA Commons, unless the client requests retention for future engagement cycles.

  • Contact and Payment Records: Retained for a period of three (3) years following the conclusion of the engagement for accounting and legal compliance purposes.

  • eRA Commons Access: The standalone eRA Commons account created for Signal & Sequence should be deactivated or decommissioned by the client's Signing Official following confirmed Accepted status.


7. THIRD-PARTY SERVICES

We use the following third-party services in connection with our website and operations:

  • Stripe: Payment processing. Governed by Stripe's Privacy Policy at stripe.com/privacy.

  • Calendly: Appointment scheduling. Governed by Calendly's Privacy Policy at calendly.com/privacy.

  • Carrd: Website hosting. Governed by Carrd's Privacy Policy at carrd.co/privacy.

These services may place cookies or similar tracking technologies on your device when you interact with our website or scheduling tools. We do not control the data practices of these third parties and encourage you to review their respective privacy policies.


8. COOKIES

Our website is hosted on Carrd and may use cookies or similar technologies through third-party integrations including Stripe and Calendly. These cookies are used solely for functional purposes — enabling payment processing and appointment scheduling — and not for advertising or behavioral tracking. You may disable cookies through your browser settings, though doing so may affect the functionality of certain features.

  • Request access to the personal information we hold about you.

  • Request correction of any inaccurate information.

  • Request deletion of your information prior to the standard retention period outlined in Section 6.
